 Arts Association of Oldham County Business/Gallery 104 Manager Job Description

Overview:

The Arts Association of Oldham County (AAOC) is a 501(c)3 non-profit corporation with the Mission of “Bringing the Arts to Oldham County”. Established in 1997, AAOC operates a show and sales gallery, classroom and association headquarters at 104 East Main Street in La Grange, Kentucky. Gallery 104 is staffed by volunteer artists 11am-5pm, five to four days a week (Tuesday/Wednesday through Saturday) depending on availability of volunteers.

The Business/Gallery Manager is a hybrid, part-time position, not to exceed 12 hours per week, responsible for scheduling gallery volunteer coverage, implementing placement of artwork in the gallery and providing administrative oversight of artists contracts and sales, classroom schedules, and supplies supporting the organization. Most work must be performed on-site but some assignments may be done remotely, such as scheduling. The ideal candidate will live within easy driving distance of the gallery in order to respond to unexpected issues in a timely manner.

The position reports to the AAOC Executive Director for guidance and direction. The Gallery 104 Committee provides support and assistance.

Responsibilities:

Responsible for day-to-day Gallery 104 studio, classroom and storefront operations, inventory and display of artwork and reception support.

Collaborate with AAOC contract bookkeeper to maintain an adequate cash drawer (bookkeeper monitors register sales and makes all deposits).

Maintains office, show and classroom supplies to insure an adequate supply of packaging materials, office supplies and show ribbons.

Sorts all incoming mail and distributes according to the appropriate executive director/board member/volunteer folders for action.

Manages and oversees all gallery volunteer monthly work schedules/shifts, posting blank schedules at least one month in advance so artist/volunteers can fill-in their respective shifts.

Cover unexpected vacancies to maintain published gallery hours.

Understand the daily reporting process for sales in order to assist where there is a discrepancy.

Maintain current Gallery Operations Manual and arrange training with a working artist and new gallery

artist/volunteers within the requirements of their rental contracts. 

 

Set and maintain all gallery displays and incorporate new art within existing displays as artist change-out pieces.

Receive new gallery artists/art and insure they receive orientation and training when they deliver their work.

Train all artists how to enter their inventory in the Square point-of-sale system and provide further training and oversight if the artist will be volunteering in the gallery as a requirement of their contract.

Schedule AAOC Gallery 104 classroom and audiovisual equipment in cooperation with the Director of Education to avoid overlaps in assigning space and equipment.

Properly secure and maintain audiovisual equipment so it is available and operable when needed ( eg., recharging/replacing batteries in the public address system quarterly, provide an inventory of appropriate cables to operate all equipment).

Oversee facility cleaning including quarterly window cleaning.

Provide monthly updates on status of Gallery 104 operations and maintenance to the Executive Director to report to the AAOC Board of Directors the third Tuesday of each month.

Other duties as assigned to support the AAOC Mission.

Requirements:

Proficient in computers and information technology, specifically Apple Products, Microsoft Office, ( Word. Excel, Powerpoint, Outlook), Canva, Email and be familiar with Internet telephone service and Wi-Fi.

Familiar with e-commerce, credit card processing and on-line transactions, specifically Square point-of-sale.

Experience managing volunteers or equivalent experience.

Experience creating retail displays or equivalent experience.

A Kentucky State police background check is required. In addition to two personal/professional references.

Educational attainment and experience will be considered.

Compensation:

This is a hybrid part-time position, not to exceed twelve-hours per week paid at the hourly wage of $17 per hour, less normal withholding and taxes paid paid bi-weekly.

Schedule may vary as needed to complete assignments in a timely manner and will include some nights and weekends to cover receptions and special events. No holiday or paid vacation. No opportunity for overtime. No health or retirement benefits.

As a non-profit corporation dependent upon art show income, art sales, grants, donations and investment income, reduction in these income sources could impact our ability to fund this position. The applicant/incumbent would be notified of any reductions impacting the position at the earliest possible date.
